Job Description PURPOSE:
To provide national and regional convention marketing planning and execution to all Novo Nordisk, Inc. therapeutic areas. Assist Sr. Manager with development of annual strategic convention plan. Provide support to other corporate events as required.

RELATIONSHIPS:
The Manager, Convention Marketing reports to the Sr. Manager, Convention Marketing of the Strategic Meeting & Event Management department. The Manager will have internal relationships with the following teams: Diabetes Marketing, DM Sales, BioPharm Marketing & Sales, Managed Markets, Trade, e-Marketing, Corporate Communications, Regulatory, and Medical Staffs. External relationships include various partners and suppliers such as: Exhibits, Advertising, Housing, Travel, ROI Measurement, Premium, and Warehouse/Fulfillment suppliers.

ESSENTIAL FUNCTIONS:
Budget Management:
• Assist Senior Management in monthly, quarterly, and year-end budget reconciliation as needed.
• Assist Senior Management with budget development during the annual strategic planning phase.
• Manage day to day shows and projects to or below allocated budgets.

Convention Planning:
• Arrange for exhibitor badges for all attendees.
• Ascertain Brand goals and objectives for each convention to utilize in the development of Return on Investment scenarios directed by both the Product and Convention Marketing teams.
• Collaborate with key stakeholders (i.e. brand teams, continuing education, corporate communications etc.) to develop and recommend appropriate professional and consumer related trade shows in accordance with each brand’s strategic plan.
• Collaborate with partners and suppliers to recommend to brand teams the best convention graphic, media, and sponsorship offerings.
• Develop and deliver pre-show materials, show objectives, and pre-convention slide presentations to attendees and booth staff in accordance with department SOPs.
• Develop and publish Convention Communications for all managed shows including: Convention Plans, Post Show Reports, and Post Show Performance Snapshots based on the outlined process.
• Develop forecast KPI goals.
• Develop registration websites to go live three months prior to the start of each show, and provide critical logistical information accordingly.
• Develop staffing needs based on all shows and consolidate into one call for staffing. Collaborate with the Sales organization for each designated brand to ensure responses are secured, representatives receive save the date invites, and replacements are found when necessary. Each show must have one lead/captain per show.
• Evaluate performance of exhibit, sales representatives, and competitors to formulate recommendations for program enhancement.
• Lead onsite exhibit instillation at major national conventions. Manage supplier teams to ensure exhibits are within budget and on time.
• Plan the development and execution of ancillary events including, but not limited to: War rooms, hospitality suites, and brand appreciation events for sales representatives.
• Recommend and develop key promotions which include pre-show/at-show advertising, sponsorships, premium items, and traffic generation programs. All tactics must be able to measure ROI and company/brand awareness.
• Recommend and manage housing requirements with designated service providers.
• Recommend and maximize exhibit property configurations that best meet the brand objectives for each show.
• Recommend and produce Literature/Premium material lists based on the needs of each brand in accordance with department procedures, and ensure delivery to show site is confirmed.
• Track and assist Sr. Management in driving performance of KPI goals, and incorporate with competitive analysis data into annual strategic planning template across the program.

Suppliers/Partners:
• Identify and recommend potential vendors for conventions, meetings, and symposia etc.
• Manage the selection of vendors to implement logistics.
• Supervise all suppliers and labor partners at conventions to provide an appropriate environment for all NNI personnel.

PHYSICAL REQUIREMENTS:
Approximately 25-35% overnight travel.

KEY SUCCESS FACTORS: EDUCATION, EXPERIENCE, KNOWLEDGE AND SKILLS
• A Bachelor’s Degree in relevant field or equivalent experience.
• A minimum of 5 years related experience (i.e. convention coordinator/planner, etc.) in the pharmaceutical industry required.
• Ability to multi-task on multiple projects.
• Ability to provide direction and follow up to ensure requests are completed.
• Detail-oriented with a strong attention to quality results.
• Experience with Legal/Regulatory Review processes desired.
• Intermediate proficiency in Microsoft Word, Excel, and PowerPoint required.
• Pharmaceutical Industry experience required.
• Strong Negotiator.
• Strong organizational & Time management skills.
• Team player with the ability to work independently.
• Working knowledge of FDA regulations and PhRMA guidelines strongly desired.
