Job Description PURPOSE:
To provide meeting management support for all trainings through Human Resources, Talent Management department. Provides budget management support by processing and tracking contracts and provides Learning Management System (LMS) support.

RELATIONSHIPS:
Reports to the Associate Manager, Training Logistics and works closely with Sales Training, CMR Training, BioPharm Training, Learning Academy programs, Marketing (MAX) & Diabetes Educator trainings. External relationships include various vendors and suppliers.

ESSENTIAL FUNCTIONS:
• Coordinates multiple processes, procedures, or programs. Independently researches and develops reports and budgets, draws conclusions, and makes recommendations
• Demonstrates competencies in the technical, regulatory, legal, or other terminology specific to the appropriate functional processes, as well as a thorough knowledge of department and organization policies and procedures in assigned area of responsibility
• May perform a variety of complex activities in support of finance, such as assisting in the monthly close process, account analysis, and reconciliations
• Provides Budget Management, which includes processing and tracking of MSA’s and SOW’s and reconciling to the overall budget
• May ensure compliance for expense reports by performing targeted audits and providing employee training
• May have responsibility for providing IT support for in-house IT clients via phone, email, or intranet requests
• May provide high level technical and administrative to other HR functions. Coordinates the training process for field sales personnel and/or in-house employees
• May provide support in the areas of mail distribution, facilities, and equipment
• Uses software and new/emerging technologies in performing the duties of the position to compile and generate reports, statistics, timelines, tables, graphs, correspondence, and presentations
• Works independently on a variety of complex and diversified department activities and projects, requiring sound planning, judgment, adaptability, and accountability
• Works under limited supervision, exercising independent discretion and judgment, where input to changes in work processes and work flow is often required
• Supports vendor management of program logistics to include, but not limited to; attendee travel (air and ground), hotel accommodations, food and beverage, meeting room set-ups, audio visual and print/materials production
• Attendee coordination with on-line registration site, manages HR function mailbox, sends out communications, and provides on-site support for any special needs
• Prepares meeting materials, including agendas, welcome packets, speaker invites, and sourcing locations
• Oversee testing process on-site, which includes assists with proctoring test, scanning tests, copying and printing results with complete confidentiality
• Management of participant list to ensure attendees receive the proper training needed
• On-site management from logistics through execution of trainings
• Ensures quality standards are met for all trainings and events, and monitors adherence to internal and external policies and procedures

PHYSICAL REQUIREMENTS:
Must be able to travel approximately 20%

KEY SUCCESS FACTORS: EDUCATION, EXPERIENCE, KNOWLEDGE AND SKILLS
• A high school diploma and 6-8 years of related experience required
• Senior level position requiring extensive knowledge of the job and department served; complete knowledge of company operations
• Must possess demonstrated skills in PC applications, typically involving new/emerging technologies, such as on-line databases, optical technology, intranet/internet, and computer software programs specific to the function
• Demonstrated competencies in the technical, regulatory, and legal terminology of the functional processes
• Must have flexibility of work schedule
