Job Description PURPOSE:

The Medical Education & Grants (MEG) Associate is responsible for processing and managing all educational grant requests submitted through the online Grant Management System (GMS).

RELATIONSHIPS:

This position reports to the Medical Education Manager/ Director within the Medical Education – Diabetes group that is part of Scientific Analytics & Communications. Internally, the MEG Associate interacts with Legal, Compliance, Field Medical, Clinicians, US Corporate Giving & Social Impact, and Professional Relations within CMR, Sales, managed care, and marketing personnel at many levels within NNI. Externally, the Associate interacts with medical education providers, medical associations, professional organizations, hospitals and other organizations who submit grant requests.

PRINCIPAL ACCOUNTABILITIES:

Grants Management Responsibilities:

• Interacts with educational grant requestors and Novo Nordisk employees in a professional, customer-friendly, efficient, effective and timely manner.
• Serves as a point person for all assigned educational grants for both internal and external customers.
• Fully understands and utilizes the web-based Grants Management System (GMS) to handle, review, document and track all educational grants.
• Independently researches, reviews and processes all assigned educational grants requests and interacts with Grant Requestors as needed to obtain additional information in support of submitted grant requests.
• Routes and monitors the status of all educational grant requests and provides information concerning the status of grants upon request.
• Assists in the negotiation of modifications to letters of agreement (LOAs) if requested by the grant requestor.
• Processes check requests for approved grants and ensures correct payments are being issued.
• Creates and maintains reports on educational grant funding and available budgets. Monitors available budgets to ensure spend is on-track.
• Prepares, reviews, recommends and, if approved, assists in modifying standard GMS templates.
• Assists in reviewing and recommending on-going maintenance and improvements to the GMS system. Opens, reviews and closes Quickbase tickets for Polaris help desk issues.
• Test fixes in GMS before and after system fixes are implemented.
• Provides guidance and training as needed on the GMS process to company employees and Grant Requestors.
• Assists in the creation of departmental procedures that describe procedures and processes regarding review of educational grant requests, as well as help implement changes to the process when needed.
• Assists in investigations involving alleged educational grants compliance discrepancies or violations as directed.
• Route reconciliations to appropriate manager for grants >$25,000. Review and approve reconciliations of grant requests funded for $≤25,000. Close out all grants, regardless of grant amount.

Medical Education Responsibilities

• Prepares letter of agreement memos for Project and Medical Education Managers for national RFP (Request for Proposal) based education programs.
• Prints RFP grant requests for Managers, if needed.
• Assists in tracking and overseeing the timelines, payments and budget for the programs.
• Organizes, attends and draft minutes of Medical Education – Diabetes group meetings and other meetings as necessary.
• Assists in ensuring that all accredited programs supported by Novo Nordisk are in accordance with appropriate CE and CME guidelines for professions for which they are accredited.

Program Reporting Responsibilities

• Collects utilization reports for various Novo Nordisk supported educational grants and assists in the preparation of monthly and quarterly reports to share with internal customers. Monitors program feedback as and when possible.
• Gather, organize and analyze data on educational grants as requested.

Scientific and Professional Meeting Activities

• Actively seeks and participates in CME related meetings and workshops offered by various professional organizations.
• Actively seeks and participates in product and disease related meetings and workshops offered internally or by various professional organizations.
• Attends educational sessions at scientific meetings to increase knowledge and to remain current with NNI and competitor products.

KEY SUCCESS FACTORS:

Education, Experience, Knowledge and Skills

• A Bachelors’ degree or 6 years of equivalent work experience required.
• General understanding of IME (CE/CME)/Pharmaceutical industry guidelines and regulations required.
• Excellent organizational, communication, and interpersonal skills.
• Generally proficient in the use and understanding of computer software, including Microsoft Office (Word, Excel, PowerPoint).
• Time Management/Organizational skills - Ability to prioritize, stay organized and meet deadlines, even under pressure or time constraints and while managing multiple projects.
• Commitment to Quality; The ability to accurately review documents and provide high quality reports and correspondence.
• Detail-oriented.
