Job Description PURPOSE:
GENERAL:
Senior advanced level position requiring a thorough, extensive knowledge of the job and specialized function and/or department served. Performs a variety of highly diverse and complex business-specific tasks and activities of a responsible nature in support of a department or functional area requiring sound planning, organization, judgment, adaptability, and accountability. Supports the functional objectives of assigned department or team by performing a variety of complex activities of a responsible nature. Provides support of the functional processes, programs, and/or services. A skilled specialist who completes tasks in resourceful and effective way.

JOB SPECIFIC:
Responsible for the design, development, enhancement and modification of high quality and accurate presentation materials, reports, audio-visual materials and CTM GlobeShare page to support communication activities across Clinical Trial Management (CTM) for the Senior Management team.

RELATIONSHIPS:
GENERAL:
Directly supports a business or function. Extensive inter and intra-departmental contact is required as well as contact with individuals representing outside organizations on matters of importance to the function, the department or of a sensitive nature. Interacts externally with organizations and/or vendors. Provides guidance to lower level administrative positions.

JOB SPECIFIC:
This position reports to the head of Business Management, Clinical Trial Management (CTM). External relationships may include outside consultants and vendors as well as other areas of CMR and NNI Communications to development of materials to support CTM.

ESSENTIAL FUNCTIONS:
GENERAL DUTIES:
- Utilizes software and/or systems specific to the functional area to compile and generate reports, statistics, timelines, tables, graphs, correspondence, and presentations.
- Works independently on a variety of complex and diversified department activities and projects, requiring sound planning, judgment, adaptability, and accountability.
- Exercises independent discretion and judgment, where input to changes in work processes and work flow is often required.
- Provides general support to projects such as monitoring project timelines and deliverables.
- Compiles and analyzes data, creates complex reports, and provides information regarding function activities.
- Solicits information from various sources and develops presentations as needed.
- Proactively identifies and executes on areas for improvement within the department.
- Manages and follows-up on action items and activities in support of the department and/or function.
- Reviews, updates and uploads information to relevant systems.
- Performs complex analysis based on identified needs and direction provided.
- Obtains and secures resources necessary in order to execute events and programs.
- Provides support for budgets and tracks project timelines and deliverables.
- May occasionally provide some administrative support to department or function or assist with overflow work.
- May perform a variety of routine office duties involving typing, invoicing, record and file maintenance, data entry, meeting/travel arrangements, planning and execution of either on or offsite department meetings, processing expense reports, department event planning (e.g. off sites, team building, group meetings), running/processing reports, and vendor management as needed.
- May handle calendar management as needed.

JOB SPECIFIC DUTIES:
- Plan and prepare communications-presentations, reports, audiovisual materials, CTM Globeshare page that targets wide range of recipients-internal CTM staff, CMR, NNI, HQ and external stakeholders.
- Understand CTM objectives and business critical milestones to shape, coordinate and deliver high quality materials. An in-depth understanding of the core business and integrated activities is fundamental for success.
- Ensure adequate collection of information and appropriate dissemination of information to relevant staff relating to business delivery and project conduct.

KEY SUCCESS FACTORS: EDUCATION, EXPERIENCE, KNOWLEDGE AND SKILLS
- A high school diploma or GED required; additional coursework or certification a plus.
- A minimum of 6 years of administrative or related experience required.
- Requires advanced computer skills, strong Microsoft Office skills and computer software programs specific to the function. Must possess demonstrated skills in PC applications, typically involving new/emerging technologies such as on-line databases, optical technology, intranet/internet, and computer software programs specific to the function.
- Excellent planning and organizational skills required.
- Ability to work independently on tasks or projects which support the function.
- Demonstrates strong leadership abilities.
- Ability to exercise independent discretion.
- Ability to interact with all levels within and outside of the organization.
- Has the ability to handle multiple priorities and demands.
