Job Description PURPOSE:
This Associate Manager of Editorial position manages and performs a full range of editorial services, including copyediting, proofreading, and ensuring consistency at all stages for marketing and educational material. The position oversees, guides and reviews material from initial submission to final approval within the Medical, Legal, and Regulatory Review Board (PRB (Promotional Review Board)) process. Includes overseeing accuracy of copy, layout, and references for print proof or final production review for all Marketing Operations managed production projects. This position includes being a primary recorder of all comments in the Promotional Review Board (PRB) meeting, capturing PRB meeting minutes and other key data as well as being a guide for the Editor role(s). Similar tasks will take place on electronic reviews for conciseness and clarity of commentary.
Oversees Editor(s) and may manage workload for contingent editors/proofreaders as needed. May participate or lead ad hoc projects as needed.
RELATIONSHIPS:
Reports to Sr. Manager, Marketing Operations. Manages Editorial staff member, Interacts primarily with Diabetes and BioPharm Marketing; Reviewers from Medical, Legal, Regulatory; Marketing Operations Planners, Managers of Marketing Operations and Production/Distribution colleagues. External relationships include related agencies and vendors that submit materials into PRB for review.
ESSENTIAL FUNCTIONS:
EDITING: Copyedits marketing and educational materials in accordance with AMA style and Novo Nordisk style.
EDITING: Ensures accuracy of spelling, grammar, consistency, clarity of style usage.
EDITING: Reviews iterative draft submissions to ensure that all the requested changes have been included in the Material (check changes).
EDITING: Ensures consistency across similar material, guiding agencies and advocates on correct usage of style.
EDITING : Reviews final submission and confirms all changes incorporated prior to final approval before Material is sent for production.
EDITING: Reviews all print proofs to ensure piece accurately reflects PRB comments and is error free.
EDITING: Proactively guides agency partners and advocates in annotating and referencing Material as well as clarifying commentary, as needed
LEADERSHIP: Proactively participates and/or leads editorial process changes or updates
LEADERSHIP: Coaches Editorial direct report for proper handling of any/all situations that arise in PRB or with management of Materials being reviewed
LEADERSHIP: Creates and manages style guide for NNI and ensures consistency across Editorial staff
LEADERSHIP: May manage workload of any full-time and contingent editorial staff, as needed
LEADERSHIP: May participate in data- or fact-checking, as requested or needed
OTHER RESPONSIBILITIES: Proactively captures personal daily volume and outcome metrics for reporting and oversees direct report’s data capture
OTHER RESPONSIBILITIES: Proactively provides data for Monthly PRB reports as well as additional ad-hoc reporting needs
OTHER RESPONSIBILITIES: Identifies and develops process improvement for Editorial
OTHER RESPONSIBILITIES: Manages requested Editorial input into Material created internally by all levels of employees for pieces that may or may not require PRB
PRB MEETING MANAGEMENT AND ELECTRONIC REVIEW SUPPORT: Proactively determines if NNI style guidelines (for brand or corporate) have been accurately implemented
PRB MEETING MANAGEMENT AND ELECTRONIC REVIEW SUPPORT: Participates in Promotional Review Board Meetings and accurately captures PRB participants’ feedback during meeting. Provides input to comments in meeting to ensure comments are grammatically correct.
PRB MEETING MANAGEMENT AND ELECTRONIC REVIEW SUPPORT: Utilizes electronic system to add comments and manage workflow.
PRB MEETING MANAGEMENT AND ELECTRONIC REVIEW SUPPORT: Proactively communicates regularly with the reviewers, advocates, and agencies, as well as collaborates with Marketing Operations colleagues, in relation to submitted Material.
PRB MEETING MANAGEMENT AND ELECTRONIC REVIEW SUPPORT: Proactively clarifies medical-, legal-, and regulatory-required verbiage, ensuring consistency across brands and campaigns.
PRB MEETING MANAGEMENT AND ELECTRONIC REVIEW SUPPORT: Proactively provides guidance on and checks for proper usage of Novo Nordisk Corporate Visual Identity within submitted Material
PRB MEETING MANAGEMENT AND ELECTRONIC REVIEW SUPPORT: Proactively determines if NNI style guidelines have been accurately implemented.
PRB MEETING MANAGEMENT AND ELECTRONIC REVIEW SUPPORT: Manages Editorial accuracy of all reviewed Material.
PRB MEETING MANAGEMENT AND ELECTRONIC REVIEW SUPPORT: Signs off, within the electronic workflow system, on all Material based on PRB review outcomes and needed next step.
PRB MEETING MANAGEMENT AND ELECTRONIC REVIEW SUPPORT: Utilizes templates and captures meeting data related to start/end time, length of review for each piece, meeting attendance, conduct, meeting outcome and minutes. Maintains minutes and reports to management.
PRB MEETING MANAGEMENT AND ELECTRONIC REVIEW SUPPORT: Version control of all reviewed pieces and comments
PRB MEETING MANAGEMENT AND ELECTRONIC REVIEW SUPPORT: Clarifies medical-, legal-, and regulatory-required verbiage, ensuring consistency across brands and campaigns.
PRB MEETING MANAGEMENT AND ELECTRONIC REVIEW SUPPORT: Utilizes electronic system to add comments and manage workflow.
Additional Information DEVELOPMENT OF PEOPLE:
Ensure that reporting personnel have 3P forms with annual goals and measurements that are consistent with the priorities of the business, and that interim reviews are held so that their work is focused on those priorities, and they understand their level of accountability for results and the measurement process.
Ensure that the IDP forms include completed Learning and Aspiration plans and are in place for all reporting personnel to enable the achievement of goals and capability to assume increased levels of responsibility.
Manage the application and communication of all Novo Nordisk policies, procedures, and Novo Nordisk Way of Management.
KEY SUCCESS FACTORS: EDUCATION, EXPERIENCE, KNOWLEDGE AND SKILLS
A Bachelor’s degree required or equivalent experience.
Ability to manage projects; must be deadline oriented and able to handle multiple tasks in a fast-paced and deadline-oriented environment.
Ability to negotiate and influence to work across multiple disciplines to achieve work success
Ability to provide direction and filter information and policies to staff
At least 7 years related experience in the development or delivery of marketing or other promotional materials within the pharmaceutical industry
Editing expertise required
Must be highly organized and attentive to details.
Prior supervisory or leadership experience is preferred
Copyediting certification preferred
Excellent command of the English language and strong writing/communication skills required as this role will need to make grammatical edits and spelling corrections to pieces
High degree of self-motivation and ability to work independently and under tight deadlines
Complete knowledge of medical and marketing language, AMA style (10th Edition), proofreading marks and symbols, and promotional phrasing.
Complete knowledge of AMA style guide, understanding of promotional guidelines. FDA/OPDP regulatory requirements relevant to advertising and promotions, and basic knowledge of pre-press processes.
