Job Description PURPOSE:

Provides general administrative support of a moderately complex and responsible nature to the Benefits area requiring planning, organization, judgment, and adaptability.

RELATIONSHIPS:

Reports to the Director of Benefits , with a dotted-line report to the Senior Benefits Manager and Associate Manager, Work-Life & Leave Administration, and provides confidential administrative, clerical, and project related support to the Benefits team.

Works with all levels of employees, HR department members, individual of other departments and/or outside organizations involving obtaining and providing information and/or data on matters of importance and sensitive nature to the function. External relationships include interaction with vendors, i.e. Mercer Admin, Charles Schwab, United Healthcare, PayFlex, 2 Places at 1 Time, Bright Horizons etc.

ESSENTIAL FUNCTIONS:

• Types routine correspondence. Creates MS Office documents, e.g., PowerPoint slides, Excel spreadsheets.
• Schedules meetings and handles logistics, e.g., make catering arrangements, etc.
• Makes conference registrations, travel arrangements, prepares itineraries, and completes expense reports
• Coordinates logistics for team new hires, e.g., prepare office space, onboarding materials, business cards, computer ordering, etc.
• Coordinates archiving/retrieval of documents and files to offsite storage.
• Prepares check requests for monthly premium billing for benefit vendors; codes all benefits invoices in ICE system. Prepares check requests for FSA funding.
• Files benefit documents in employee files. Maintains general benefit files.
• Maintains various departmental documents such as: vendor contract log, dashboard metrics, projects log, etc.
• Generates various reports from the HR data hub on a regular basis to assist the benefits team
• Performs other duties as assigned

OTHER
• Approves routine life events in third-party benefit administrator’s eligibility system. Assists with investigation of escalated benefit issues.
• Assists with enrollment in and communication of NovoFlex benefits
• Provides support for voluntary and work-life benefits (e.g. back-up care, College Coach) including scheduling/coordinating meetings, sending communication and responding to employee inquiries.
• Provides disability administration, leaves of absence and workers’ compensation support by: 1) ensuring that employee forms are completed for statutory disability states 2) completing disability and family leave forms and submitting to respective state for processing 3) communicating, collecting and documenting payments received from state statutory disability programs and uses this information to communicate with employees, payroll, etc. 4) handling meeting accommodation requests
• Enters severance subsidies into COBRA system and maintains severance spreadsheet. Assists with investigation of COBRA enrollment issues.
• Collects and verifies Domestic Partner documents and updates logs as needed.
• Notifies all Managers and Directors of level-specific benefits (financial planning and/or interest-free loan) upon hire or promotion.
• Completes Qualified Medical Child Support Order requests and letters for VISA applicants.
• Maintains reports tracking medical and dental claims paid vs. accrual for all healthcare affiliates.
• Prepares benefits upon termination letters, as requested.
• Maintains post-65 retiree premium spreadsheet.
• Enters employee termination dates in Schwab website to generate distribution paperwork.
• Provides ET pages from biweekly pension file to manager.
• Assists with annual pension audit by gathering data, creating spreadsheets, and generating confirmation letters. Including maintaining ongoing report to track 401(k) contributions.
• Assists with the planning and execution of events, including Take Your Child to Work Day, National Fitness Day, Financial Wellness & Work-life Fair, annual Health Fair, etc.
• Coordinates all mailings to employees; i.e. annual Summary Annual Reports, wellness calendars, notices, etc.
• Supports workplace flexibility related requests including answering employee questions, collecting forms, maintaining spreadsheet and other responsibilities as necessary
• Assists with gathering survey data in the completion of surveys (i.e. FORTUNE 100, NJ Biz) by planning dates, adhering to survey guidelines, coordinating requests from respective departments and inputting data
Additional Information KEY SUCCESS FACTORS: EDUCATION, EXPERIENCE, KNOWLEDGE AND SKILLS

• A high school diploma and 2-4 years administrative or related experience required.
• Intermediate-level position requiring full knowledge of the job; substantial understanding of general office routines and procedures.
• Must possess the ability to operate personal computer and associated office software.
